POSITION DESCRIPTION

The Herbert Wertheim College of Medicine is currently seeking an Office Coordinator to join our team of professionals.

Duties Include:

  • Coordinates the daily operations of the Herbert Wertheim College of Medicine (HWCOM) NeighborhoodHELP (NHELP) scheduling office by greeting visitors, answering telephone calls, responding to emails, scheduling, and updating mobile health center and household visits for NHELP. Registers NHELP household members in the Electronic Medical Records (EMR). Serves as a backup for supervisor and provides coverage for staff as needed.
  • Oversees the coverage for household visits by utilizing faculty physician and resident's household assignments. Confirms and reminds supervising faculty, students, and safety officer of upcoming visits by providing key information, such as date, time, zoom and location.
  • Provides ongoing training and support to the NHELP scheduling team. Performs quality audits pertaining to team functions.
  • Coordinates with NHELP staff to ensure care coordination. Updates available resources for NHELP participants as they become available. Assigns scheduling tasks as needed.
  • Plans and schedules staff office meetings and assists with preparing the agenda and materials needed for the meetings
  • Provides feedback and supports the leadership team with review/revision and implementation of internal procedures.
  • Schedules uber rides for patients and provides support to staff on Mobile Health Clinics.
  • Handles confidential information and ensures policies and procedures are being followed.
  • Performs other related duties as assigned or directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

MINIMUM QUALIFICATIONS

  • High school diploma or GED and six (6) years of office or related experience coordinating functions of an office or department.
