Special Events Manager – Biscayne Bay Campus – 533201

Job Summary:

Leads institutional and public events such as, but not limited to lectures, summits, and conferences while providing support and counsel to customers and patrons. This role will primarily serve at the Wolfe University Center and secondarily support the Graham Center. Will directly supervise student assistants in the Guest Services unit of the Wolfe University Center.

  • Supports event organizers (student organizations, departments, general public) in selecting a venue and schedules activity in the Event Management System (EMS) software. Provides guidelines and addresses fees. Facilitates the production of assigned events, designs space layouts, and coordinates with other service providers to ensure a one-stop shop experience.
  • Manages inquiries about spaces and their availability, reservation processing, coordination of required documentation such as insurance, coordination of event logistics, and payment processing to ensure successful event production(s).
  • Coordinates services with university providers, such as Facilities Management, FIU Police, Parking, etc.
  • On-boards, trains, schedules, and manages all Guest Services (including but not limited to: Event Planning Office, Welcome Center, Game Room and Computer Lab) student staff in the Wolfe University Center.
  • Supports the day-to-day needs of the Wolfe University Center Guest Services unit. Provides excellent customer service and ensures Guest Services unit students adhere to FIU service excellence standards.
  • Establishes and maintains relationships with clients to identify their needs and ensure customer satisfaction.
  • Supports and participates in the design of activities and special events within the facilities.
  • Conducts tours of the facilities for clients, staff, and students.
  • Serves on university-wide planning committees, as assigned.
  • Handles cash, check, credit card and other monetary transactions. Adheres to University credit card policies and procedures..
  • Maintains confidentiality in accordance to university, state, and federal laws, rules, and regulations.
  • Provides event planning execution, reservation support and other services for large profile/scale events at the Wellness and Recreation Centers, Housing and Residential Life and other operational units/facilities as needed.
  • Attends on campus and off campus event conferences and expositions to help promote the growth of the student centers.

Departmental Requirements:

Experience in event planning (from conception to execution).

Minimum Qualifications:

Bachelor's degree and two (2) years of related experience; OR six (6) years of related experience; OR an equivalent combination of relevant education and/or experience.

Salary: $50,000-$55,000

End time: 5:00 PM
