POSITION DESCRIPTION

The Herbert Wertheim College of Medicine is currently seeking a Senior Coordinator of Administrative Services to join our team of professionals.

Duties include:

  • Manages monthly departmental meetings. Oversees all aspects of event and meeting details including planning, implementation and meeting minutes.
  • Oversees the submission of all departmental financial requests via Finance 360. This includes travel authorization requests, expense reports, purchase and payment requests and catering requests.
  • Supervises assigned staff or student assistant to ensure the completion of all assigned functions.
  • Coordinates all internal and external meetings for the department, including the annual and quarterly evaluation meetings and follows up on pending actions.
  • In collaboration with the Chief Administrative Office for Research and the Research Administration budget manager, liaises with HWCOM HR in the coordination of any HR related matters.
  • Assists the Chair with faculty, Appointment, Promotions and Tenure (APT) nominations, interview schedules, Panther180 reporting, etc.
  • Coordinates and provides assistance to departmental onboarding of faculty and staff in the department.
  • Assists faculty and staff with facility access requests and IT support requests.
  • Oversees the creation of annual Department of Cellular and Molecular Medicine annual report and updates personnel report monthly.
  • Manages a Department of Cellular & Molecular Medicine calendar that tracks all faculty and staff leave, commitments and effort.
  • Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
  • Provides administrative support with all departmental functions and operations to the faculty and staff in the Department of Cellular & Molecular Medicine and HWCOM Research Administration to provide high level of customer service to faculty and staff.
  • Processes all persons of interest and visiting scholar requests for the Department of Cellular & Molecular Medicine and HWCOM Research Administration and serves as a liaison with the Office of International Student & Scholar Services at FIU.
  • Provides administrative support to the Chair of the department of Cellular and Molecular Medicine and the Chief Administrative Officer for Research.

MINIMUM QUALIFICATIONS

Bachelor's degree and three (3) years of office or related experience providing administrative support, or coordinating functions of an office or department.
