School of Science, Technology, and Mathematics Coordinator
Job Summary: This position is primarily responsible for supporting the functions of the School of Science, Technology, and Mathematics. Several of the chief tasks include overseeing general office functions, maintaining division communication and records, monitoring budget information with the Director, maintaining office supplies and equipment, assisting students, supporting faculty and staff, drafting reports, coordinating visitors, performing a variety of clerical tasks, and supervising student and temporary workers.
Principle Responsibilities:
- Oversee office functions through handling calls, responding to general inquiries, maintaining office communication and accommodating smooth office flow.
- Operate as the central communication link between students, faculty, staff and other offices on campus.
- Access and review budget information with the Director.
- Prepare check requests, process purchase orders, prepare travel vouchers, assign account numbers to credit card charges, track and reconcile expenses, and request budget line transfers.
- Oversee work study student staffing and time sheet approval.
- Coordinate efforts with administrative assistants across the division.
- Distribute received mail and prepare outgoing mailings.
- Assist with administration of summer programs.
- Oversee division honors day activities.
- Support faculty and staff with scheduling meetings, providing technical assistance, delivering messages, and scheduling rooms.
- Maintain minutes for division meetings.
- Compile annual reports, faculty and staff evaluations, and other reports as necessary.
- Coordinate and maintain the contact list for prospective students.
- Implement special projects as directed by the Director.
- Orient, train, and lead others performing similar work and report to a higher level on a formal basis.
- Maintain historical and student records for the division.
- Monitor, maintain and order office supplies and equipment.
- Assist the director with ad hoc division tasks.
- Other duties as assigned.
Required Skills:
- Excellent organization and communication
- Proficiency with software including Microsoft Office Products, Google Docs, and Adobe
- Proficient use of Web Focus, Banner, and Self-Service Banner
- Ability to perform moderately complex procedures using basic analytic ability
- Ability to prioritize efforts and tasks
- Ease in discussing issues of moderate importance with higher officials through cooperation, explanation and persuasion
- Self-motivated and ability to stay one step ahead of other’s needs
- Must be able to multi-task and complete tasks in disruptive atmosphere
Minimum Qualifications:
- Bachelor’s Degree or equivalent experience
- At least two to five years of similar office experience
Preferred Qualifications:
- Bachelor’s Degree
