JOB SUMMARY

The National Institute for Undersea Vehicle Technology (NIUVT) at the University of Connecticut seeks qualified applicants for an Administrative Program Support 1 position. NIUVT is a dynamic work environment, with this position housed in the Innovation Partnership Building (IPB) on the Storrs campus and interacting with students and faculty in various Schools and Departments throughout UConn’s College of Engineering. Under the direction of the UConn Director of NIUVT, this position provides support in expanding and maintaining NIUVT’s research efforts. The successful candidate will possess the skills to effectively communicate the prescribed requirements and practices to students, faculty, and stakeholders. This position works on-site at the Storrs campus and may occasionally travel within Connecticut and Rhode Island to meet with NIUVT personnel and partners.

DUTIES AND RESPONSIBILITIES

  • Assist with placing orders for research projects and administrative needs such as equipment, materials and supplies, office supplies, catering, and promotional items; receive orders; track delayed/missing/misdelivered packages.
  • Support the processing of faculty and student payroll, including preparing offer letters and internal forms, collecting required forms, processing payroll transactions, and completing I-9 forms.
  • Provide administrative support to the NIUVT Co-Director including coordinating meetings, schedule, and travel (arrangements and reimbursements).
  • Provide general office support, including answering phones, responding to inquiries, directing calls and emails, and maintaining calendars.
  • Provide logistical and administrative support for large events such as quarterly/annual meetings, workshops, and faculty/student meetings both on- and off-campus.
  • Coordinate and participate in meetings at the Controlled Unclassified Information (CUI) and Controlled Technical Information (CTI) levels.
  • Track and maintain the assets and controllable property of the Institute including office supplies and coordinating for office equipment.
  • Maintain office supplies and purchases that include processing registrations and memberships.
  • Act as liaison with the School of Engineering IT on behalf of the Institute.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS

  1. Associate's degree and two to three years of administrative experience with demonstrated knowledge of record keeping, creating reports, and drafting correspondence; or equivalent combination of education and experience.
  2. Demonstrated ability to work independently with the ability to solve problems efficiently and effectively.
  3. Proficient in the use of all MS Office applications.
  4. Meet all U.S. government regulations for access to Controlled Unclassified Information (CUI) and Controlled Technical Information (CTI) for the entirety of the appointment.
  5. Ability to occasionally travel in support of off-site events or meetings.

PREFERRED QUALIFICATIONS

  1. Excellent communication, organizational, written, phone, and interpersonal skills.
  2. Experience in higher education and or the military.
  3. Experience with online financial, purchasing, or payroll systems.
  4. Experience with website design, database, and form building (Kuali).
  5. Experience with Adobe Acrobat.
  6. Experience handling time-sensitive data.

APPOINTMENT TERMS

This is a full-time, end-dated position that is annually renewable based on performance and available funding. The University of Connecticut offers outstanding benefits including employee and dependent tuition waivers at UConn and a highly desirable work environment. Salary will be commensurate with the successful candidate’s background and experience (range of $45,842 to $54,000). Screening of applications will begin once the advertising for the position ends.
