We encourage applications from women, people of color, people with disabilities, veterans, and other candidates from underrepresented backgrounds and with diverse experiences interested in this opportunity.About the Position As the CFPA Operations Manager you will serve as the principal administrator, budget authority, and resource person supporting the Dean of the College, four academic departments (Art and Art History, Design, Music, and Theatre & Dance), the Director of Marketing and Special Events, the Director of the Western Gallery and Public Art Collection, the CFPA Facilities Operations Manager, and the Music Library.Typical duties include:Budgeting/Personnel & Administration: Anticipate and identify projects and issues in the College. Analyze the Dean's Office budgets and College-wide budgets to maximize use of funds, ensure accuracy, and recommend efficiencies. Manage and monitor all budgets from a variety of sources, including state, self-sustaining, Western Foundation and grants. An additional complexity is the use of student activities fees (DRAC) which necessitates that specific criteria are met in spending.Coordinate and determine special funding for faculty needs, events, student educational opportunities, donor functions and others. Assess critical facility needs and develop budget proposals. Review for completeness, accuracy and sign off on contracts, staff hires, recommending funding to the Dean for projects, such as faculty equipment needs and special projects, student travel, and other opportunities.Manage personnel questions and issues as they arise, both for the two direct reports, and for other such matters in the College. As liaison for the Dean, and in his absence, sign all documents related to hiring, finance or permissions, etc., maintaining smooth operation of the Dean's Office and the College.Assist the Dean with highly confidential issues and projects, which may be sensitive in nature, including confidential personnel or other contracts, labor relations, and other institutional-level issues. Serve as point person for faculty, staff and students to respond to questions or concerns about the College and its programs or operations. Research and resolve complex issues. Facilitate/compose/follow-up on various donor communications and interactions.Coordinate legal issues with the Assistant Attorney General's Office and the Office of the Internal Auditor.Facilitate shared governance in the College by overseeing the scheduling of meetings between the Dean and department chairs and or the executive council, and the scheduling of various College-level committees on which faculty serve.Oversee the Dean's calendar, meetings and appointments with an awareness of protocol and discretion. Schedule travel and conference arrangements.Interpret policy to college constituents regarding budgeting and fund use, and promote best practices. Administer on behalf of the Dean all policies and procedures that relate to the smooth and efficient operation of the College.Provide curricular analysis (Dean's designee on College Curriculum Committee); work with faculty, including CFPA faculty and staff curricular coordinators to assure clear, concise curricular proposals, and to shepherd requests through the College and University committee processes.Required Qualifications Bachelor's degreeAt least 5 years of professional experience in a higher education or business setting with increasing levels of executive responsibilityDemonstrated budget development and management within a complex, multi-unit organization.Demonstrated ability to resolve complex issues within the organization, and make independent and strategic decisions on behalf of managementDemonstrated ability to research and interpret policies and procedures at the university and state levels to ensure compliance at all levels of the CollegeDemonstrated excellent written and interpersonal communication skillsDemonstrated experience handling sensitive personnel and fiduciary matters and maintaining confidentiality as appropriateDemonstrated ability to work effectively in a team environment and to supervise and coach/mentor staffDemonstrated ability to work effectively with individuals from diverse backgrounds and to support diversity and inclusion within the organizationAdvanced proficiency using Microsoft Office Suite and other software, including, but not limited to: Word, Excel, Outlook, PowerPoint, database management systems and financial management systemsPreferred Qualifications At least one year administrative experience in higher educationBackground or experience in the fine arts, design or performing artsProficient user of Banner 9 and MillenniumSalary Starting salary range is $61,392-$68,215 based on experience; includes a full benefits package.Application Instructions A cover letter and resume are required and should address your qualifications and experience related to the position responsibilities and the required and preferred qualifications, including your demonstrated ability to work effectively with individuals from diverse backgrounds and to support diversity and inclusion within the organization.Please include the names and contact information of three professional references.Closing Date Notes Application review begins May 9, 2019 and will continue until position is filled.
