About the Position: This position is responsible for performing a variety of administrative support duties for Campus Recreation Services including maintaining facilities schedules, maintaining CRS’ website, assisting CRS professional staff with administrative duties, and facilitating CRS front office operations.

Position Responsibilities: 
Maintain facilities schedule for athletic fields, Carver Gymnasium courts, and the Wade King Student Recreation Center
  • Monitor facilities requests and input facilities reservations into the university scheduling software, EMS and 25-Live
  • Schedule classes, conferences and activities as requested
  • Publish weekly facility schedules online on the CRS website and post schedules in the Student Recreation Center
  • Schedule and take minutes at scheduling meetings with Athletics, Health and Human Development and Campus Recreation staff

Campus Recreation Services Front Office Administrative Support
  • Order and maintain inventory of all Campus Recreation office equipment, software, and supplies
  • Maintain office filing systems and file important office documentation
  • Act as archive manager for CRS
  • Review or draft E-Sign forms for CRS permanent staff and submit forms to appropriate supervisor for review and signature
  • Assist in managing the Director's calendar
  • Monitor and answer questions and comments from CRS' general email account

Maintain and update content on the Campus Recreation Services website and departmental website email
  • Obtain content from CRS staff and publish content on the website
  • Update outdated information on the CRS website as requested
  • Maintain the front-end of the CRS website including conducting periodic updates of the website's appearance and user interface

Maintain social media platforms for Campus Recreation Services
  • Obtain social media content from CRS staff and publish across multiple social media platforms including: Facebook, Twitter, Instagram, and Snapchat
  • Ensure departmental social media policies and standards are being met, using Hootsuite social media management dashboard

Assist the Associate Director of Facilities & Operations with departmental marketing and promotion
  • Draft, edit, and revise press releases for use by the University Communications, sport club affiliated conferences, and news media
  • Assist with the creation of annual marketing plans for sport clubs and departmental programs

Coordinate Campus Recreation Student/Parent Care Package Fundraiser
  • Assist with preparing and distributing marketing materials for the fundraiser
  • Monitor the fundraiser's budget, sales projections, and actual sales
  • Research, select, and order contents for the care packages
  • Facilitate distribution of the care packages to students
Required Qualifications:
  • High school graduate or equivalent
  • Excellent written and verbal communication skills
  • Two years' administrative experience
  • Demonstrated ability to work collaboratively in a team environment
  • Experience scheduling using 25-Live, EMS event scheduling or other scheduling Software
  • Previous journalistic experience (e.g. writing sport and event press releases)

Preferred Qualifications:

  • Proficient user of Adobe Creative Suite, Dreamweaver, and Microsoft Office
  • Experience creating and maintaining websites using HTML, JavaScript, and CSS
  • Experience using social media management software (e.g. Hootsuite social media management dashboard)
  • Experience using web analytics software (e.g. Google Analytics)
  • 1 or more years administrative experience in recreation and/or athletics
  • Bachelor's degree
